Ordering Guide and Terms and Conditions

To Begin: Contact me by telephone, 305.613.3139 anytime Monday - Saturday between 10:30 am - 6:30pm eastern or any time by email at monica@abitofink.com (or click directly from my website at www.abitofink.com). At this time we can set up a meeting, or if this is not possible we can set up a plan for working remotely. After discussing your needs, I will compose a summary including time frame and fee information for your review and approval either in person or by email or fax. (At your request, I can also create a customized sample.) Then deliver or mail your materials and deposit (if required) and I will secure the time needed to complete your job. When complete, you will receive an invoice either directly, by email, USPS or fax. If possible, we will meet in person where you may pay the balance, and receive your completed work. You may also send your final payment regular mail and I will subsequently ship your work to you.

Materials: Most paper, especially if ordered through a stationery store is suitable for calligraphy using pen and ink. However there are times where the paper is simply too textured, porous, slick, shiny, etc. to take ink. When in doubt it is always best to be sure of it’s ink-worthiness before you order your paper. You may ask for a sample from the store or manufacturer to send to me; I will be happy to test it for you and let you know. Unless otherwise agreed, all paper material will be supplied by the client. Please thoroughly inspect and count your blank stationery. At the time you place your order, I will request the number of materials you are providing. A minimum of 10% extra of the paper material is required to compensate for errors, changes and add-ons. 25% would be ideal. If less than 10% extra materials are available to me, I may not be able to take the job, or an additional fee may incur. A few extras may be left with me at the end of a job to allow for additions and/or corrections. When the job is completed, all unused materials except for the agreed upon extras will be returned.

Time requirements: Due to the customized nature of calligraphy services, turn-around time varies and depends on present workload and the specific job requirements. At times throughout the year I may have many weeks booked ahead, so setting up your order early is best to ensure availability. If an extremely fast turn-around is requested (such as less than 5 days), a rush fee may apply.

Corrections: If corrections or additions must be made due to errors and/or omissions made on the part of A Bit of Ink, those corrections will be made as soon as possible, free of charge, and sent to the client via standard USPS unless pick-up is otherwise arranged. If a job has been completed, (final payment made and calligraphy delivered to the client) and corrections or additions must be made for the client, (such as an incorrect address or last minute guest additions) A minimum charge of $10.00 may apply (unless total cost for the additional work reaches $10.00 or more.) Cost of shipping is added unless pick-up is otherwise arranged.

Partial Lists and Add-ons: Due to the fact that guest lists for envelope addressing often require last minute changes, I will gladly accept partial lists and do my best to accommodate situations where names are added after the majority of the work is completed. Usually, the larger the list, the more likely there will be a large initial list and more names added after the fact. In any case, I would appreciate that your list be completed and checked for accuracy to the fullest extent possible before submitting. If subsequent additions are unavoidable, please prepare them in large groups rather than piecemeal. If you suspect that there will be changes and/or additions, I can, at your request, hold your completed work for a maximum of 7 business days without generating an invoice to allow for additional services. However after a job has been completed, paid for and delivered, any additional work will be considered a new service order and a minimum $10.00 fee will apply.

Turn-around time for add-ons: Turn-around time for additions and corrections will depend on the amount of work the corrections or additions entail, but I will always try to complete the work as soon as possible regardless of culpability, because I understand that in many cases time is of the essence.

Booking and Deposits: Since bookings and workloads change from month to month, booking at least two months in advance is the best way to ensure availability. To secure a block of calendar time, a deposit of at least 50% of the initial estimate is required. Deposits are refundable until 15 calendar days prior to the scheduled start date.

Methods of Payment: You may pay by cash or check made payable to A Bit of Ink, Inc. Work will be delivered to clients directly (client picks-up), by email or by regular mail or courier, after a full payment has been made by cash or check.

Refunds: Your complete satisfaction is extremely important to me. If you are displeased with your calligraphy, I will take every measure to correct it in order to gain your satisfaction, or a full refund will be issued.

Materials and Packaging: Please carefully inspect and count all of your materials. Occasionally the stationery companies unintentionally give fewer envelopes than were ordered, or may accidentally include several defective envelopes. If I discover any damaged items, I will set them aside and notify you. Usually, the stationery company will send replacements at your request. Rest assured that while in my hands, your stationery will be treated with extreme respect and care at all times. If your work needs to be mailed, I will prepare the package in a way that protects it as much as possible to prevent denting, bending and water damage while in transit.

Mailing: For local orders, arrangements can be made for pick up and delivery or use of courier services. For orders being mailed (unless otherwise requested by the client) your work will be mailed by standard USPS. All applicable postal charges and/or courier charges are added to the final bill.
